Forms
Based on customer feedback, this release introduces an enhancement to Forms, providing more flexible and controlled input from different users. Forms can now be used in various contexts, including:
With this release, the CSV Table widget has been further enhanced with new export options, allowing users to download CSV data more efficiently. The available options include:
- Training Diary – For recording learning achievements.
- Performance Appraisals – To complete performance reviews with manager acknowledgment, allowing both the reviewer and approver to interact with the form as needed.
For each form field, a new setting called Editable by will allow administrators to specify who can edit the form field after it has been submitted. There are two options:
- Default Settings – The default option, which leaves the form field unchanged.
- Custom Settings – Allows the admin to specify whether a user, group, or a User Picker field has access to edit the selected form field.
When selecting Custom Settings, the Edit Permissions pop-up window appears.
The admin will be informed of the current permissions for editing submissions.
They can then add a specific user or group who will be allowed to edit the selected form field.
Additionally, any User Picker fields will be listed, and admins can use them to define who has edit permissions for a selected field on the form.
In the example below, the Line Manager User Picker field has been selected. When the form is completed and a user selects their line manager, this automatically grants the selected line manager edit access to the selected form field.
NOTE – Any user, group, or User Picker field selected to edit a form field can only do so via the Data Viewer.
Further configuration is required in the Data Viewer via Access Control to ensure that form submissions are only visible to the intended users.
We’ve logged in as Tracy Wilson, the line manager for Elizabeth Chatters and Monster Wilson. As shown in the screenshot below, Tracy Wilson can successfully see the submissions made by her staff via the Data Viewer widget.
In the Data Viewer, we’ve navigated to the Line Manager Comments field, where Tracy Wilson can see a pencil icon allowing her to edit this field.
When the pencil icon is selected, the Edit Submission window opens. The Line Manager Comments field is highlighted in blue to show which field can be edited, while all other fields are greyed out and uneditable.
At the bottom left of the window, a prompt displays how many of the editable fields have been completed.
With the ability for nominated users to edit a form field, it’s important to track any changes made to form submissions, including the date, time, and the user who made the changes. A new Submission Log column is visible within the Data Viewer, with a View button for each form submission.
Clicking the View button opens the Submission Log window, where the last edit to the form submission is displayed. In this example, we can see an edit made by Tracy Wilson on 09/05/2025 @ 13:42, as well as the data at the time of submission.
If multiple edits have occurred, you can select the dropdown list and choose the submission you wish to view.
